When Custom Software Is the Right Fit
Custom software isn’t always the answer. Here’s how it compares, and when we’ll tell you not to build.
Custom Build vs. Off-the-Shelf Configuration
| Off-the-shelf software | Configured SaaS + integrations | Custom software | |
|---|---|---|---|
| Fits your workflow | You adapt to the software | Partly, within the tool's limits | Built around how you work |
| Integrations | Whatever the vendor offers | Connectors, add-ons and workarounds | Connected to your exact systems |
| Upfront cost | Low | Low to moderate | Higher: you're paying for a build |
| Ongoing cost | Per-user subscriptions that grow with you | Subscriptions plus integration upkeep | Hosting and optional maintenance, not per-user licenses |
| Who owns it | The vendor | The vendor, plus your settings | You: code, data and repository |
| Changing it later | Wait for the vendor's roadmap | Limited to what settings allow | Change anything, on your schedule |
| Best when | Your process is standard | You're close, with a few gaps | Your process is your edge, or nothing fits |
Projects Outside the Supported Scope
- Your process is specific to your business, and it matters
- You're stitching together tools that don't connect
- Customers or partners need their own secure login
- You've inherited software that needs a new team
- An off-the-shelf tool already does most of what you need
- You need a marketing website (see Website Design)
- A simple automation tool can handle it
- You need a fixed price before anyone has scoped the work
Not sure which column you’re in? We’ll give you a straight answer on the call.

Project Scope, Cost Factors and Timelines
How much does custom software development cost? It depends on six things. Here they are, so you can estimate the size of your project before you talk to anyone.
What Determines Development Cost
Features and User Roles
How many screens, workflows and types of users the software has to support.
Integrations
Each system it connects to, and how good that system's API is.
Data Migration
Moving and cleaning data from spreadsheets or an old system.
Technical Unknowns
Untested APIs, legacy code or anything nobody has done before. We flag these early.
Testing Depth
How much has to be proven before launch, based on what the software handles.
Post-Launch Needs
Hosting, monitoring, maintenance and how fast you'll want new features.
What Determines the Project Timeline
Size of the scope
How quickly decisions get made
Access to your systems and APIs
Data readiness
Third-party approvals
Custom software pricing
A Real Quote, After Scoping
No price list, because no two builds are alike. After the free scoping call, if there’s a project worth doing, we’ll explain how we’d scope and quote it.
Discovery, Estimates and Scope Changes
The estimate is based on the agreed scope. If you want to add or change something mid-build, we quote it first, and you decide.

Custom Software Development FAQs
Straight answers on cost, timing, ownership, integrations and support.
Ask them on a free scoping call. No pitch deck, just a conversation about your project.
What types of custom software projects do you support?
Internal business tools, customer and partner portals, custom web applications, API and system integrations, AI automation built into workflows, and takeovers or modernization of existing applications. Our web apps work on phones and tablets, and we build mobile apps when a project needs one.
How much does custom software development cost?
It depends on the number of features and user roles, the integrations, any data migration, technical unknowns, how much testing is needed and what you want after launch. We don’t publish a price list because no two builds are alike. Start with a free scoping call, and if there’s a project worth doing, we’ll explain how we’d scope and quote it.
When should we build custom software instead of using an off-the-shelf platform?
Build when your process is specific to your business and it matters, when you’re stitching together tools that don’t connect, or when customers or partners need their own secure access. If an off-the-shelf tool already does most of what you need, we’ll tell you to use it.
What happens on the free scoping call, and what should we bring?
We talk through the problem, who would use the software, the systems you use today and what you need it to do. You’ll get an honest view on whether custom software is the right answer and what the next step would be. Bring the problem, a rough list of must-haves, and any timeline or budget you’re working with.
Can the software integrate with our existing systems?
Usually, yes. We’ve connected Google Business Profile, Meta, CallRail, GoHighLevel, Instantly, BrightLocal, Nutshell, PayPal, Gravity Forms and others. During discovery we check each system’s API and access, so integration risks surface before the build, not during it.
How long does a custom software project take?
It depends on the size of the scope, how quickly decisions get made, access to your systems, how ready your data is and any third-party approvals. We’ll give you a timeline based on the agreed scope rather than a one-size-fits-all number.
How are revisions, scope changes and acceptance handled?
We build in stages and show you working software as we go, so feedback happens early. Changes outside the agreed scope are quoted before we build them, and you decide. You test the software on a preview, and nothing goes live until you accept it.
Who owns the source code and application after handoff?
You do. You get the source code, the Git repository, your database and data, and admin access to the accounts it runs on. Cloud and third-party accounts are set up in your name.
What testing, security and data responsibilities are included?
Testing scoped to the project, automated tests where the logic is critical, role-based access, encrypted credentials, separate testing and production environments, and a preview of every change. Backup and recovery duties are written into your scope. We don’t claim certifications we don’t hold.
Can you take over software another developer built?
Yes. We took over Fast Passports & Visas’ visa application platform from its original developers, expanded it and still maintain it. We start by reviewing the code and infrastructure, then stabilize it before adding features.
What maintenance and support are available after launch?
Maintenance is optional. We can host it, monitor it, apply bug fixes and security updates, keep platforms and dependencies current and add new features as you grow. Your agreement defines what’s a fix and what’s new work.
